Terms and conditions

Welcome to The Canvas Club (“The Canvas Club,” “we,” “our,” or “us”). By registering a child for any Canvas Club program, camp session, workshop, event, field trip, or activity, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.

1. Registration

Registration is not considered complete until:

  • Registration forms have been submitted in full.
  • Required waivers have been completed.
  • Payment has been received.
  • Emergency contact information has been provided.

The Canvas Club reserves the right to deny or cancel registration at its sole discretion.

2. Payments

Full payment is due at the time of registration unless otherwise specified.

If a payment plan is offered:

  • Payments must be made according to the agreed schedule.
  • Failure to complete scheduled payments may result in cancellation of enrollment.
  • Any outstanding balances must be paid before a child may attend camp.

Prices, schedules, and offerings are subject to change without notice.

3. Cancellation & Refund Policy

Because staffing, supplies, facility scheduling, and programming are planned in advance based on enrollment, the following cancellation policy applies:

Parent-Initiated Cancellations

  • Cancellations made more than 30 days before the first day of camp will receive a refund less a $50 administrative fee per child, per session.
  • Cancellations made 14–30 days before the first day of camp will receive a 50% refund.
  • Cancellations made less than 14 days before the first day of camp are non-refundable.

No-Shows

No refunds, credits, or make-up days will be provided for:

  • Missed camp days
  • No-shows
  • Vacations
  • Scheduling conflicts
  • Personal reasons

Illness or Early Withdrawal

No refunds or credits will be issued for:

  • Illness
  • Injury
  • Voluntary withdrawal
  • Dismissal due to behavioral issues

At our discretion, exceptions may be considered for documented medical emergencies.

4. Camp Changes or Cancellation by The Canvas Club

The Canvas Club reserves the right to:

  • Modify schedules
  • Adjust programming
  • Substitute activities
  • Change instructors
  • Combine age groups when necessary
  • Cancel sessions with insufficient enrollment

If a camp session is canceled by The Canvas Club, families will receive either:

  • A full refund, or
  • A credit toward a future program

5. Attendance & Arrival

Parents and guardians are responsible for ensuring timely drop-off and pickup.

Children may only be released to authorized individuals listed on the registration form.

Government-issued identification may be required.

Repeated late pickups may result in additional fees.

6. Health & Medical Information

Parents must disclose all relevant:

  • Medical conditions
  • Allergies
  • Behavioral concerns
  • Dietary restrictions
  • Special accommodations

The Canvas Club reserves the right to determine whether reasonable accommodations can be provided within the camp environment.

In the event of illness, injury, or emergency, The Canvas Club may seek medical treatment on behalf of the child if a parent or emergency contact cannot be reached.

Parents remain financially responsible for any medical expenses incurred.

7. Food & Allergies

Lunches, snacks, and beverages may be provided during camp.

While reasonable efforts are made to accommodate allergies, The Canvas Club cannot guarantee an allergen-free environment.

Parents are responsible for notifying The Canvas Club of all allergies and dietary restrictions during registration.

8. Behavior Expectations

The Canvas Club is committed to providing a safe, inclusive, and positive environment.

Children are expected to:

  • Treat fellow campers, staff, and property with respect.
  • Follow instructions from staff members.
  • Participate safely in activities.
  • Refrain from bullying, harassment, discrimination, or disruptive behavior.

The Canvas Club reserves the right to dismiss any child whose behavior:

  • Threatens the safety of others
  • Causes repeated disruptions
  • Damages property
  • Violates camp rules

No refunds will be issued in cases of dismissal.

9. Personal Property

The Canvas Club is not responsible for lost, stolen, or damaged personal items.

Children are encouraged to leave valuables at home.

10. Photography & Media Release

By registering for camp, you grant The Canvas Club permission to photograph, film, record, and otherwise capture your child’s participation in camp activities.

These images and recordings may be used for:

  • Marketing materials
  • Social media
  • Advertising
  • Website content
  • Promotional campaigns
  • Printed materials

No compensation will be provided for such use.

If you wish to opt out of photography and media use, you must notify The Canvas Club in writing before the first day of camp.

11. Assumption of Risk

Participation in camp activities involves inherent risks, including but not limited to:

  • Arts and crafts activities
  • Physical recreation
  • Outdoor activities
  • Field trips
  • Group participation

By registering, parents acknowledge and voluntarily assume these risks on behalf of their child.

12. Release of Liability

To the fullest extent permitted by law, parents and guardians release and hold harmless The Canvas Club, its owners, employees, contractors, instructors, affiliates, and representatives from any claims, liabilities, damages, losses, injuries, or expenses arising from participation in camp activities, except where caused by gross negligence or willful misconduct.

13. Field Trips & Off-Site Activities

Certain camp activities may occur off-site.

By registering, parents authorize their child to participate in approved field trips and supervised off-site activities.

Additional waivers or permissions may be required for specific outings.

14. Communication & Newsletter Subscription

By registering, parents and guardians consent to receive communications from The Canvas Club regarding:

  • Registration confirmations
  • Camp updates
  • Schedule changes
  • Emergency notifications
  • Upcoming programs
  • Special offers
  • Newsletters

Families may unsubscribe from marketing communications at any time using the unsubscribe link included in emails.

Operational and safety-related communications may still be sent when necessary.

15. Website Use

All website content, graphics, logos, photographs, artwork, and materials are the property of The Canvas Club and may not be copied, reproduced, distributed, or used without written permission.

16. Privacy

Personal information collected during registration will be used solely for camp administration, communication, safety, and operational purposes.

The Canvas Club does not sell personal information to third parties.

17. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the State of New York, without regard to conflict of law principles.

18. Acceptance of Terms

By registering a child for any Canvas Club program, camp session, workshop, or event, you acknowledge that you have read, understood, and agreed to these Terms & Conditions in their entirety.

19. Late Pickup Policy

To ensure proper staffing and supervision for all campers, parents and guardians are expected to pick up children promptly at the end of each camp day.

A 10-minute grace period will be provided after the scheduled pickup time.

After the grace period:

  • A late pickup fee of $1 per minute, per child, will be charged.
  • Fees will be automatically charged to the payment method on file when possible.
  • Repeated late pickups may result in dismissal from the program.

If an emergency will cause a delay, parents should notify The Canvas Club as soon as possible.


20. Sick Child Policy

To help maintain a healthy environment for all campers and staff, children who are ill should remain home.

A child may not attend camp if they have:

  • A fever of 100.4°F (38°C) or higher within the previous 24 hours.
  • Vomiting within the previous 24 hours.
  • Diarrhea within the previous 24 hours.
  • A contagious illness that could pose a risk to others.
  • Symptoms that prevent them from comfortably participating in camp activities.

If a child becomes ill during camp:

  • Parents or emergency contacts may be called to pick up the child.
  • Pickup should occur as soon as reasonably possible.

Children may return to camp when:

  • They have been symptom-free for at least 24 hours without the use of fever-reducing medication, and
  • Any applicable medical clearance has been provided if requested.

No refunds, credits, or make-up days will be provided for absences related to illness.


21. Technology & Electronic Device Policy

The Canvas Club encourages creativity, social interaction, and hands-on learning. To support these goals, personal electronic devices should remain limited during camp hours.

Permitted devices may include:

  • Mobile phones
  • Tablets
  • Smart watches
  • Handheld gaming devices

Campers may use devices only during designated times as determined by staff.

The Canvas Club reserves the right to restrict or prohibit device use if it:

  • Disrupts activities
  • Creates distractions
  • Interferes with camper participation
  • Impacts the experience of other campers

The Canvas Club is not responsible for lost, stolen, or damaged electronic devices.

Certain camp activities may incorporate technology, digital art, video creation, coding, robotics, gaming platforms, or supervised educational use of applications such as Roblox or similar tools. Participation in these activities will always be supervised by camp staff.

Campers may not:

  • Access inappropriate content
  • Record other campers or staff without permission
  • Use devices for bullying, harassment, or disruptive behavior

Violation of this policy may result in temporary confiscation of the device and/or disciplinary action.


22. Transportation & Field Trip Authorization

The Canvas Club may offer field trips, neighborhood excursions, walking tours, museum visits, park activities, educational outings, and other off-site experiences as part of camp programming.

By registering, parents and guardians authorize their child to participate in approved off-site activities under staff supervision.

Transportation methods may include:

  • Walking
  • Public transportation (including subway and bus systems)
  • Chartered transportation providers
  • School buses
  • Commercial transportation services contracted by The Canvas Club

Reasonable safety precautions and supervision will be maintained at all times; however, participation in off-site activities involves inherent risks.

Parents acknowledge and accept these risks and authorize camp staff to supervise and transport their child as reasonably necessary for participation in scheduled activities.

The Canvas Club reserves the right to modify, substitute, postpone, or cancel field trips due to:

  • Weather
  • Safety concerns
  • Venue availability
  • Transportation issues
  • Operational considerations

No refunds will be issued due to field trip substitutions or schedule modifications.

Additional permission forms may be required for certain activities.
